Recording & Participation Policy

Last updated: August 2026

The short version: pod sessions are recorded so we can write a private follow-up summary for the people who were in the room. Summaries go to participants only. Participation asks for candor, respect, and no selling.

1. Why pods are recorded

Utopia pod sessions are recorded for one purpose: to prepare a private written summary of the session for the founders who took part. The summary captures the options discussed, the trade-offs named, and the next steps identified.

Recordings are not published, shared outside the pod, or used for marketing.

2. Who receives what

The written session summary is shared with the participants of that session only.

Access to raw recordings is limited to the Utopia team members who prepare summaries. Recordings are retained only as long as needed to produce and verify the summary, then deleted on a regular schedule.

3. Your consent

You consent to recording when you submit your application, and each session's participation terms are provided before you attend. If you do not wish a specific session to be recorded, tell us before the session and we will discuss options — in some cases the session may proceed without you, since the summary is part of the format.

4. What participation asks of you

Come with a real decision or a useful operating perspective. Be candid, constructive, and respectful. Participate rather than observe.

Do not pitch, prospect, scrape contacts, or sell to other members. Introductions happen only with the agreement of both people involved.

Treat what other founders share in a pod as private. Do not repeat another member's company details outside the session.

5. Removal

Utopia may decline to seat, or remove, members who breach these expectations. Where a removal relates to paid membership, the applicable terms are covered in the membership terms shared at joining.
